OHIO University Libraries Student Employee Handbook

Getting Paid

Payment

Much of this information can be found in the final module of the Student Orientation

Pay periods cover two weeks, from Sunday of the first week to Saturday of the second. You can see where each pay period falls on this site. Your pay is not issued until after you complete the next two-week cycle, which is typically four weeks after you start work. However, the delay in pay means you will receive your final check 2 weeks after you end your employment with us. To permit processing through proper university channels, you must submit your timesheet at the end of your last shift each pay period, no later than 8am the Monday following the end of the pay period. A late time sheet may mean you will have to wait an additional two weeks to be paid.

Pay issuance

In your student employment hiring packet, you should have a direct deposit authorization form, provided by HR. If you wish to have your pay deposited on payday into one or more bank accounts, you will need to fill out this form. Otherwise, checks will be mailed to the mailing address you have on file with HR.

Timesheets

Completed timesheets are the legal indication of the number of hours you have worked. Your pay is based on this information. You will use Workforce to fill out and submit your timesheets each pay period. Enter the exact time you report to work and the exact time you stop working. Certain departments may have access to a tool called TimeClock, which can automatically import your time worked into Workforce when you swipe in/out. However, not every department utilizes TimeClock, so be sure to check with your supervisor to see if this is an option for you.

Instructions for completing the timesheet can be found in the final module of the Student Orientation.

Timesheet Falsification

Any falsification of time sheets is fraud and theft of public monies and grounds for immediate dismissal. It is unacceptable to sign in or out for other student workers, or to record times not worked as worked.

Employee time sheets should accurately reflect time worked. Intentional misrepresentation of paid time recorded in Workforce can lead to immediate termination.

Hours per Week

University policy states that student employees are not permitted to work more than 25 hours per week during spring and fall semester, including jobs held elsewhere on campus. However, most departments keep their students working at an average of 10 hours per week – check with your supervisor about your department’s policy. Departmental policies are usually informed by their individual employment budgets and how many students are employed each semester. Students are responsible for monitoring their hours accordingly.

Salary

Student Assistants generally begin employment at the current minimum wage and receive incremental pay increases of $.25 per hour for every academic year worked. Raises are given at the start of each quarter – August for all fall semester hires, January for all spring semester hires, and May for all summer semester hires. For example, if you are hired in August of freshman year at $11.00/hr, you will see in the August of sophomore year that your wage increased to $11.25/hr. Another example: you are hired in March of junior year at $11.00/hr. In January of senior year, your wage will increase to $11.25/hr.

You will be paid regular wages on holidays if you're asked to work, though this is rare.
